Replace an old membership campaign with a new one
When it's time for next season, create your new membership campaign and mark it as replacing the old one. When you publish the new campaign, the old campaign ends the same day and every auto-renewal moves to the new campaign at the new tier's price. You create the campaign in Creating and configuring your membership form.
Renewals keep their schedule through the move. If you need a refresher on how each renewal schedule works, see Everything there is to know about monthly or yearly membership renewals.
Choose what the new campaign replaces
The Launching another membership campaign? step appears when you create or clone a membership campaign, but only if your organization already has at least one other active membership campaign. In the editor side nav, it shows as Campaign life cycle, above Title. The step is hidden entirely once the campaign is published.
In the Launching another membership campaign? step, choose one:
It's a brand new membership program, selected by default.
It replaces an existing membership campaign: one option appears per existing campaign, named after that campaign, each with an info icon. Selecting one expands three lines that explain what happens to members, and the illustration on the right changes.
Click Continue. The step's other footer button, Exit, takes you out of the step.
Cloning a campaign preselects the It replaces option for the cloned campaign. Choosing It replaces on a brand new campaign also prefills the tiers of the campaign you replace, each linked to its source, just as in a clone. If you switch back to It's a brand new membership program, the tiers stay but the links are dropped: only the replacement is dropped, nothing else is reset.
You can change the choice any time before publishing. There is no confirmation dialog at publish time.
What happens when you publish
The old campaign ends and its auto-renewals move the day you publish the new campaign. Publishing is what triggers the move, so you can prepare everything in draft first.
A draft never closes the old campaign. As long as the new campaign is a draft, the old campaign stays open and keeps its renewals.
What happens when the new campaign is published | |
|---|---|
Old campaign | Ends the day the new campaign is published. Its campaign page redirects to the new campaign page. |
Auto-renewals | Each auto-renewal moves to the new tier linked to its old tier and is charged the new tier's price on the new campaign. This applies to every validity type (fixed date, one year after payment, monthly), with or without the 3-month grace period, including members whose next charge is more than a year away. |
Tiers | An old tier without a linked tier gets an archived, invisible copy at its old price, so auto-renew keeps working. This covers an old tier deleted before the replacement and a prefilled tier you deleted. Only one new tier can replace a given old tier: duplicating a tier does not copy the link. If you delete the new tier afterwards, the archived tier keeps its link and its price, so renewals keep running on it. |
Years | If a year is detected in a tier's rate, it increments by +1 automatically. The year in the campaign title is updated automatically with +1 when the title contains one. |
Members who bought before the switch | A member who bought before the new campaign was published (mid-season join, grace period, anniversary renewal) stays on the old campaign until their next renewal. The new campaign's hub does not show them for the current period. |
Emails | Communications from the old campaign keep running, except the two auto-renewal emails: the reminder before the charge and the confirmation after it use the new campaign's content. The expiration email keeps the old campaign's content. |
Membership breakdown | In the new campaign's hub, the membership breakdown adds a subtitle to auto-renewed memberships transferred from the previous campaign. |
Closed campaign page | Under the campaign title, next to the Campaign ended chip, the line "Members will renew on" followed by the new campaign's name appears. It opens the new campaign page. |
End a campaign and choose what happens to upcoming renewals
The End your membership campaign? dialog asks what should happen to upcoming renewals before the campaign ends. You end a campaign from the three dots on the campaign in the Campaigns view.
Cancel all upcoming renewals: every upcoming renewal is cancelled. To cancel a single membership instead of the whole campaign, see Cancelling a membership or stopping its automatic renewal.
Move upcoming renewals to another campaign: choosing this only offers to create a new membership campaign. Moving renewals to an existing campaign is not possible. Once the move option is chosen, an info box explains that Zeffy handles the renewals, with a Learn more link.
With no option picked, the dialog shows "Select an option above to continue" and blocks the action. The confirm button is destructive and reads End campaign.
Reopen a closed campaign
Reopening a closed campaign cancels the redirect to the new campaign and puts the next auto-renewals back on the old campaign. To reopen, reactivate the campaign from your past campaigns, following the steps in Will auto-renew payments stop if I archive the membership form?
