Tracking bids, payments, and item winners on your auction form
Track bids, payments, and auction winners from your auction's campaign hub in your Zeffy dashboard. The hub has five tabs: Overview, Payments, Bids, Fulfillment, and Communications.
Open your auction's campaign hub
Log into your Zeffy dashboard and go to Campaigns.
Open your auction from the campaigns list. The campaign hub opens on the Overview tab.
Overview
The Overview tab shows your auction's sales at a glance: total raised, the number of bids, the total saved on Zeffy, and a bidding breakdown by item with the bid count and top bid for each item.
Access your bids and bidders list
At any time during or after the auction, every bid placed on your form appears in the Bids tab of the campaign hub, with the bid amount, the bidder's contact information, the item they bid on, and whether they are the current top bidder. When supporters place a bid, they enter the bid amount, their contact details, and the payment method they will be charged with if they win.
Use the Filter by item dropdown at the top of the table to view bids on a specific auction item.
Click Export at the top right of the tab to export the bids list.
To obtain a report on bids, including the items your participants have placed a bid on, export your payments from the main Payments page of your dashboard: click Export in the top right-hand corner and, under Export type, select Itemized payments.
Track payments in the Payments tab
When your auction closes, winning bids are automatically charged. Each winning payment appears in the Payments tab of the campaign hub with the bidder's contact details, the amount they paid, and the item they won.
Use the filters at the top of the tab, including date range and payment status, to narrow the payments list.
Add offline payments here to log payments you collected outside Zeffy, such as cash.
You can also see your auction's payments on the main Payments page of your dashboard by filtering for your auction form.
When do winning payments appear?
Bids stop as soon as your auction's close time passes. Closing out the auction and processing the winning payments takes about 15 minutes, so winning payments appear roughly 10 to 15 minutes after the close. This timing applies when anti-sniping has not extended your close time. See How anti-sniping works in Zeffy auctions for how extensions work.
Bidders are informed during the payment process that they will only be charged at the end of the auction if they are the winning bidder:
View your auction winners
Winners appear in the Payments tab of the campaign hub once their payments have been processed, with their contact details, the final price they paid, and the item they won.
In the Bids tab, the Status column shows Won for each winning bid once the auction has closed.
The Fulfillment tab is where you manage order fulfillment for your auction winners. Orders with fulfillment appear here once supporters complete checkout.

Manage bidder emails in the Communications tab
The Communications tab holds the automated emails for your auction: outbid notifications, winner and non-winner emails, and reminders. To customize them, see Edit the emails sent to winners or bidders who did not win once your auction ends.
