How to edit, manage or cancel a donor’s recurring payment

This article explains how, as an admin, you can fully manage your donors’ recurring monthly donations directly from your Zeffy dashboard.

As the organization admin, you can:

  • Update a donor’s recurring donation amount

  • Update their payment method

  • Cancel future recurring payments

Please note: Donors can also complete all three of these actions themselves through their donor portal or payment confirmation emails. The steps below are helpful if a donor reaches out and asks your organization to make the changes on their behalf.

Managing a recurring payment

To manage a donor’s recurring payment:

  1. Log into your Zeffy account and go to Payments.

  2. Locate the transaction you want to refund and click on it (make sure not to click on the name of the buyer but instead, click anywhere else on the payment line)

  3. Click More in the top right corner.

From this menu, you can complete three actions:

  • Edit donation amount (not available for memberships)

  • Update payment method

  • Stop recurring payment

➡️ Edit Amount

This option allows you to update the amount of future recurring payments.

For example, if a donor currently gives $50 monthly and would like to increase their recurring payment to $75, select Edit Amount and enter the updated amount.

Once confirmed, your donor will receive a confirmation of the new donation amount

This option is only available for recurring donations (it is not available for memberships)

Changes are not retroactive. The updated amount will apply starting with the next scheduled payment only.

It is currently not possible to change the billing date of a recurring payment. Payments are always processed on the same day of the month as the original payment date. To charge on a different date, the recurring payment must be cancelled and restarted on the desired day.

➡️ Update payment method

This option allows you to update the credit card associated with the recurring payment. Click on Update payment method and a secure payment window will open where the updated payment information can be entered, including:

  • Card number

  • Expiration date

  • CVC

All future recurring payments will be charged to the updated payment method.

➡️ Stop Donation

Selecting Stop recurring payment will cancel all future recurring payments associated with this payment.

Once stopped, the donor’s payment method will no longer be charged moving forward.

Please note: Stopping a recurring payment does not refund previous payments. It only prevents future charges. If a refund is needed, please click on "issue a refund" once the donation has been stopped.
