Importing data into Zeffy

Import donor information and giving history by importing your contacts and payments into Zeffy

Importing contacts or payments into Zeffy is a straightforward process. You'll have to start by completing our import templates provided below. Please make sure to fill out the templates exactly as indicated to facilitate a successful import.

Do not change column titles, add or delete columns. If you have information to import that does not fall under a category offered on the import sheet, you can add it as a "note." If you have no information to enter, simply leave the column blank. If you change a column title, the data will not import. 

Once your import sheet is ready, you'll be able to upload your .xlx file into Zeffy directly.

An overview of the import process

  1. Prepare your data: Organize your data according to the data requirements outlined below, ensuring it meets both file and data requirements.
  2. Review your data: Double-check the accuracy of your data before initiating the import. Although mistakes can be rectified through a redo, we recommend a thorough review to avoid any discrepancies. 
  3. Complete Import: Head to the import section to finalize the process. Detailed instructions for this step are provided below.

Contacts can be deleted individually by going to the contact page, clicking "Action" and selecting "Delete contact." 
Imported payments cannot be deleted individually. To fix a payment import error, you must delete the import and redo it. 

Contact Imports

A contact import allows you to import a list of contacts into your Zeffy account. You can import your contact names, emails, addresses, phone numbers etc to ensure your Zeffy CRM is up-to-date. 

The list of your imported contacts will appear in the section "Contacts" of your dashboard.

Payment Imports

A transaction import allows you to import payments into your Zeffy dashboard, allowing you to manage historical payments and donations all in one place. 

If you import a list of transactions, this data will be added to the section "Payments" of your Zeffy dashboard.

An imported transaction will also automatically create a contact that will be added to the "Contacts" section of your Zeffy dashboard.

If a contact already exists in your Zeffy database with the same email as provided for the transaction import, the transaction will be associated with the existing contact.

Where can I see the imported data?

When you import contacts, they will appear under your "Contacts" tab. Each imported contact will have an associated profile where the information you provided about them will be pre-filled. 

The email is the primary identifier of a contact. If a contact has more than one email, they will have more than one contact page. If multiple contacts are associated to the same email, only one of the names associated to that email will be chosen as the name of that contact. 

Can I edit contact information once it has been imported? 

Most of the contact information can always be edited directly on the contact page once the import is complete. Simply go to "Contacts" > Select the contact you wish to view and change any of the associated information.

The contact's language preference cannot be edited once it has been imported. If that section is left blank, it will be English by default

How can I segment my imported contacts? 

We recommend using the "Note" column on the import if you wish to be able to segment and identify specific groups within a contact import. When you import a note, it will be added to the contact's page in the "Note" section. You can use the search bar at the top of the Contact" page to look up contacts with a specific note. You can later tag these contacts to group them if you prefer tags.
