Email data and statuses in Zeffy

Learn how to track your email performance and how to understand delivery and engagement statuses

Track email performance

You can easily track the performance of the emails you send in Zeffy. To view information about emails you've sent, navigate to Communications → Emails → Click on the email you want to review

When you click on a sent email, you’ll see a detailed performance dashboard showing

  • The date and time the email was sent

  • The number of recipients

  • The campaign this email is associated (purple label under the email title)

  • General Performance metrics (in percentages)

  • Individual recipient statuses

Understanding email metrics and statuses

At the top of the page, you’ll see high-level performance metrics displayed as percentages and total counts. These summary cards provide a quick snapshot of how your email performed across all recipients.

You can scroll down to view the full list of recipients. Using the status labels (Delivered, Opened, Clicked, Purchased, Unsubscribed, Bounced), you can filter the table to display only recipients with a specific status.

Below is a breakdown of what each status and metric means:

  • Delivered: The email was successfully delivered to the recipient’s inbox. The recipient has not yet opened or clicked the email.

  • Pending: The email is in the process of being delivered. If the email address is valid and there are no issues with the recipient’s inbox, the status will update to “Delivered.”

  • Opened: The recipient opened the email. The Open rate (%) shown at the top reflects the percentage of recipients who opened your email.

  • Clicked: The recipient clicked at least one link within the email. The Click rate (%) at the top reflects the percentage of recipients who clicked a link.

  • Purchased: The recipient completed a transaction, such as a donation or ticket purchase, after clicking through from your email. The Purchase rate (%) reflects the percentage of recipients who converted.

  • Unsubscribed: The recipient chose to opt out of receiving future emails from your organization by clicking the unsubscribe link at the bottom of the email. Being listed under “Unsubscribed” for a specific email means they unsubscribed after receiving that message.

  • Bounced / Failed: The email could not be delivered. This may occur if:

    • The email address is invalid

    • The recipient’s inbox is full

    • The recipient’s email server rejected the message

Important notes

1-to-1 emails are not displayed under Communications > Emails.

This section is focused on bulk emails and newsletters sent to multiple recipients.

If you sent a one-to-one email (for example, an extra thank-you message or a message sent to a single contact), you can track it by:
  • Going to Contacts

  • Clicking on the contact’s name

  • Opening their contact profile

  • Viewing the emails listed as “1-1” along with their delivery status

Automated confirmation emails are also not listed under Communications > Emails.

To track the status of Zeffy’s automated confirmation emails:

  • Log into your Zeffy dashboard and go to Payments

  • Locate the transaction in question

  • Click on the payment line (do not click on the donor’s name, as this will take you to their contact page). A panel will open on the right side of your screen

  • Scroll to the Thank you communications section at the bottom of the panel to verify the status of Zeffy's automated confirmation email.
